Seating Charts

Seating charts are an optional subscription feature that lets you create and manage assigned seating. Seating charts are created in the dashboard, and are viewable and editable in both the dashboard and by drivers on the copilot.
Creating seating charts with Transportant saves time and adjusts to route changes. The set-up time takes just minutes and once a route is set, the seatings are saved and new or removed students are automatically updated.
You can configure for each route:
  1. Number of seats per bus
  2. How many students per seat
  3. If you want to leave an empty row between rows
  4. Assign seat position (aisle or window)
  5. Define if the seat numbers start on the left or the right
You will not see the options described below unless your school system has subscribed to the seating charts feature.

Creating Seating Charts

The seating chart creation screen is in the dashboard. It can be reached either from the route management section, or from within any route.

Via the Route Management Section

You will see the seating charts button in the Route Management section of the dashboard.

Clicking on the seating charts button will take you to the main seating charts page.

This page shows you all your routes. The column titled “Seated” will indicate how may of the students (under Students heading) have been assigned a seat.
From this screen you can select one or more routes that need to have seating charts created. In the image below, two routes have students, but none have been seated. By selecting these with a check mark on the left (shown in red in the image), selecting the criteria desired (green) and clicking “Generate seating charts” (blue) it will automatically create seating charts for both routes.

Seating charts can also be removed by clicking the red trash can.
Clicking on any row or individual seating chart will take you to the seating chart (see below). From this view you can also click “Assign” (red in the image below) to automatically assign any unassigned students. If you want to manually assign students click on “Show Students” (green).

This will take you to the manual student assignment page (see below). Here you can assign a student to a seat by typing the new seat under into the seat column (red).

Via a Route

The second way to find the seating chart is through the “Routes” button in the Route Management section.

Clicking the “Routes” button will take you to a list of routes. Here you can see a list of all routes and the students assigned to each route. Selecting a route will open information about the route on the right side (see below). Selecting the icon of the three dots in the top right corner...

...will open a pull-down menu. There you will see an option to edit that route's seating chart (see below).

This will take you to a similar screen as above where you can create or edit the seating chart.

Printing Seating Charts

Seating charts can be printed under the “Print Route” functionality on the dashboard or the pull-down menu in the image above. Selecting either one will take you to the “Print Route” screen (see below). By selecting either single or batch you can print one or multiple seating charts at one time.

Single Seating Chart

For a single route you select the route and make sure you have a the “Print Seating Chart” check box checked. If you only want the seating chart make sure the other check boxes are not checked. You can then select the format you would like to print. Bus Chart will print out the seating chart. There are also options to print out labels. Some schools print out labels and label the seats on the bus with them. Should you need a different format label than what is available reach out to support@transportant.com to have one created.
To print use CTRL/CMD P or go to print in your browser.

Batch Seating Chart

To print out a batch of seating charts you click Batch (see image above). This will show an “Edit” link next to the Batch button. By selecting the “Edit” link you will go to the route selection page (see below). Here you can select which routes you would like to print seating charts for. Once you have done this, select “Save”. Your seating charts will now be displayed and can be printed using CTRL/CMD P or go to print in your browser.

Maintaining Seating Charts

Seating charts can be maintained by users of the dashboard or the driver on the Copilot

Dashboard Edit

Staff can adjust the seat assignments as they manage the students throughout the school year. In this case the driver submits the changes needed and the seat is changed by overwriting the seat in “Edit Seating Chart”. This then assigns that individual to a specific seat and adjusts the seating chart.

Copilot/Driver Editing

The bus driver can also change the seating chart if they need to make adjustments. To see the seating chart option, they must select a route. This will take them to the map view, but if the school has subscribed to seating charts a new seating chart tab (marked in red below) will be visible to the right. Selecting this will show you the seating chart for the bus.

Should the driver wish to make changes to the seating chart they will select the pencil icon to edit the chart. In our example the driver wants to move Anthony Blair from 1W to 1A. He will now click on 1W or Anthony’s name and then click on the seat where he would like him to be assigned (A1). And Anthony will be moved. If he clicks on an occupied seat that person will be moved to the seat previously occupied by that student.

If a new student needs to be assigned by the bus driver they first click on the seat where they would like to assign them. Then they go to “Select a Student” at the top of the page. This will display a list of all the students that are assigned to the bus. By selecting a student they will be assigned to the seat that was selected prior to selecting the student.

Student Seat Assignments

The seat a student is assigned to will show up next to their photo on the copilot stop screen and under their photo as they scan on.

Examples/Use Cases

1. A seating chart allows the school to reserve seats for siblings to sit next to each other.
2. If a driver is having behavior issues with a group of students not getting along or creating a
disturbance, the driver can inform the transportation department and have the students
separated in the seating chart or seated near a bus monitor.
3. If you have a special needs student that needs support, they can be assigned the most
appropriate seat.
4. If a bus driver is driving a route and picks up a student that is not normally on the route, he can
quickly look at the seating chart on the copilot to see which seats are available for him or her to sit in.
